This policy explains how Rapid Tech Insights Limited, trading as Sortivo ("Sortivo", "we", "us"), handles personal information collected through this website (https://sortivo.co.uk). It doesn't cover the separate service agreement you'd sign if you become a Sortivo customer — that's a separate document.
Who we are
Rapid Tech Insights Limited (company number PVT-3QU7E6R3) is the data controller for information collected through this website. Our registered address is Westcom Point, Mahiga Mairu Ave, P.O. Box 11500-00800, Westlands, Nairobi, Kenya. You can reach us at info@sortivo.co.uk.
What we collect
The only personal information this website collects directly is what you choose to give us through the contact form: your name, business name, email address, phone number, trade or service type, team size, and whatever you write in the message field. We don't require an account, and we don't collect payment information on this site.
If you accept analytics cookies through the cookie banner, Google Analytics collects standard usage data (pages visited, general location, device type). See our Cookie Policy for details — nothing analytics-related runs before you accept it.
Why we collect it, and on what basis
Responding to enquiries: we process the information you submit through the contact form because it's necessary to take steps at your request before potentially entering into a contract with you. Where that basis doesn't apply, we rely on our legitimate interest in responding to business enquiries directed to us.
Website analytics: we use Google Analytics only where you've consented through the cookie banner. You can withdraw that consent at any time through Cookie Settings in the footer. Submitting the contact form is not itself data-protection consent.
Who else sees it
We don't sell, rent, or otherwise share your information with third parties for their own marketing purposes. The following providers process information on our behalf:
- Resend — delivers contact form submissions to us by email.
- Google Workspace — hosts the mailbox that receives contact form submissions once Resend delivers them.
- Cloudflare — hosts this website and secures it, including the verification check on the contact form; it processes standard web traffic such as IP addresses as part of that.
- Google Analytics — provides website analytics, but only once you've accepted analytics cookies.
Contact form submissions land directly in a Sortivo inbox — we don't currently store them in a separate CRM or database.
How long we keep it
Enquiries that don't become customers are normally deleted or anonymised after 12 months, unless we need to keep them longer to resolve a complaint, establish a legal claim, or comply with the law.
Where an enquiry becomes a customer relationship, relevant information is retained according to the customer service agreement, accounting requirements, and our internal retention practices.
Where it's processed
Rapid Tech Insights Limited is registered in Kenya. The service providers we use to run this website and handle enquiries — Resend, Google Workspace, Google Analytics, and Cloudflare — may process data outside Kenya and the UK, including in the United States. Where personal data is transferred internationally, we rely on appropriate safeguards required by applicable data protection law, including the European Commission's Standard Contractual Clauses (SCCs) and the UK's International Data Transfer Addendum to the SCCs, or Google's equivalent SCCs supplemented for UK GDPR transfers. Your rights
If you're in the UK, you have rights under UK GDPR over the personal information we hold about you, including the right to be informed, to access your information, to correct it, to ask us to delete it, to restrict or object to how we use it, and to receive a copy in a portable format. Depending on where you're located, similar rights may apply under Kenyan data protection law.
To exercise any of these, email info@sortivo.co.uk. If you're not satisfied with our response, you can complain to the UK Information Commissioner's Office (ICO) for UK data-protection concerns, or Kenya's Office of the Data Protection Commissioner (ODPC) for Kenyan data-protection concerns.
Security
We use appropriate technical and organisational measures to protect personal information, including encrypted transmission, restricted access, account-security controls, and service providers selected with data protection and security in mind. No method of transmission or storage is completely secure, but we work to keep your information appropriately protected.
Automated decisions
We don't use information submitted through this website to make decisions about you based solely on automated processing. Contact form submissions are reviewed by a person.
Children
This website is intended for business use and isn't directed at children.
Changes to this policy
If we change how we handle personal information, we'll update this page and change the "last updated" date above.
